AgroEcoPower: AI voice agent automatically books meetings for 5 sales reps

How an agri-tech company automated its outbound calling with an AI voice agent that qualifies leads and schedules appointments.

The challenge

AgroEcoPower sells agricultural machinery and sustainability solutions to farming businesses across multiple regions. The sales team consists of five representatives: Daniel, David, John, Voyta and Martin. Each of them serves their own region and product line.

The problem was simple but persistent. There were more leads than the team could call. Every rep had a daily list of prospects that needed calling, but between client visits, writing quotes and admin work, a large part of that list stayed untouched. Leads that were not called within 24 hours went cold. And leads that were called but did not pick up disappeared into a spreadsheet that no one looked at again.

The result: a Pipedrive CRM full of contacts that were once warm, but never approached at the right moment. The sales team knew revenue was being left on the table. They simply did not have the capacity to do anything about it.

The approach

We built an AI voice agent for AgroEcoPower that we call "Ava". Ava runs on Vapi and is directly connected to the team's Pipedrive CRM.

Automated outbound calling. Ava calls leads from Pipedrive based on preset criteria. New leads, follow-ups, reactivations. It does not matter. As soon as a contact reaches the right pipeline stage, Ava calls. No manual action needed.

Qualification during the call. Ava does not run a sales conversation. She asks targeted questions to determine whether the lead is interested, what the timeline is and which product is relevant. Based on those answers she classifies the lead as warm, cold or unreachable.

Automated meeting booking. When a lead shows interest, Ava books an appointment directly through Cal.com. Each sales rep has their own Cal.com calendar. Ava knows which rep belongs to which region and product line and schedules the meeting with the right person. The rep receives a notification with all the context from the call.

Real-time CRM updates. After every call, Ava updates the Pipedrive record. Call notes, qualification status, scheduled appointment. The sales team does not have to retype anything or update it by hand.

The results

The effect was immediately noticeable in the team's daily workflow.

Outbound calling is fully automated. The five sales reps no longer have to work through call lists themselves. Ava calls, qualifies and schedules. The team focuses on the conversations that matter: the meetings themselves.

Meetings appear automatically on the right rep's calendar. No Slack messages saying "can you give this lead a call", no forgotten follow-ups, no leads falling between two reps. Every qualified lead reaches the right person, with context, at a time that works for both parties.

The Pipedrive CRM is always up to date. Previously the CRM was a system the team had to maintain alongside their actual work. Now it is filled automatically with current call data. That makes reporting more reliable and gives management visibility into the pipeline without having to disturb the team.

What this means

AgroEcoPower did not have a lead generation problem. They had a capacity problem. Five sales reps cannot be out in the field and calling hundreds of leads at the same time. That is not a matter of working harder. That is a systems problem.

By automating the first step of the sales process (calling, qualifying, scheduling) the team gets their time back for the work they are good at: giving personal advice, building relationships and closing deals. Ava does the groundwork. The team does the rest.
